Star Tracks Astro Events – Comprehensive Risk Management Plan

Overview

Star Tracks Astro Events is committed to providing a safe and inclusive environment for all participants and staff. This Risk Management Plan (RMP) identifies potential hazards, assesses the level of risk, and establishes clear control measures to mitigate them. It also recognises our responsibility to align with site-specific RMPs when operating on land managed by venues, local shires, or traditional owner groups.

Key Commitments

1. Adherence to Local and Venue-Specific RMPs

  • Star Tracks Astro Events ensures compliance with the risk management protocols of any venue, landowner, local government authority, or shire we partner with.
  • Prior to each event, we review the relevant RMPs, emergency procedures, and access information with the site managers and implement these into event planning.
  • Any required inductions, site briefings, or access permits are completed prior to event delivery.
  • Our team remains in close communication with the venue coordinator and is prepared to activate their emergency protocols where required (e.g., fire evacuation, site lockdown).

2. Accessibility and Inclusion

We believe everyone should have the opportunity to explore the universe. Our events are inclusive and welcome participants with a range of abilities. To ensure safety and dignity for all:

  • Accessible Terrain: Events are hosted on flat, open, and grassed or earthen areas to maximise wheelchair and mobility aid access.
  • Lighting: Red LED lights are placed strategically to ensure visibility without affecting night vision. Care is taken to avoid sudden lighting changes that may disorient neurodiverse individuals.
  • Toilet Access: When choosing event sites, we prioritise locations with accessible toilet facilities and confirm functionality prior to events.
  • Inclusive Communication: Astro Guides are trained in communicating clearly and respectfully with people with disabilities and neurodivergent individuals.
  • Hearing: We cater to people with hearing disabilities by using microphones and audio speakers for our indoor presentations and portable PA systems for our outdoor stargazing presentations and tours of the night sky.
  • Service Animals: All events welcome guide dogs and support animals, and we ensure there is safe space allocated for their needs.

We actively encourage participants to share any additional support needs during the booking process, so we can prepare accordingly.

Risk Management Practices

General Controls:

  • Pre-event safety briefing and planning between Astro Guides and coordinators
  • Require Site Managers at all events to go through Risk Management Plan & Emergency Procedures with guests, as part of opening introductions and presentations, for all venues.
  • All Astro Guides hold current Working With Children Cards.
  • All Astro Guides are instructed on emergency procedures and venue-specific risk requirements.
  • First Aid Kits are carried by all staff.
  • Emergency contact numbers are readily available at all events.

Risk Assessment & Management

  • A risk assessment is conducted prior to and upon arrival at each event and again post-event to identify any changes or emerging risks.
  • The Director (Donna Vanzetti) is responsible for ongoing review and updates.
  • Incident reports are recorded and used to inform continuous improvement.

Emergency Response

  • Emergency procedures are clearly communicated at the start of each event.
  • All team members are aware of the location of exits, assembly points, and medical equipment.
